Bank Depositories
The Board designates Key Bank, M&T Bank, and NYCLASS as depositories of all monies received by the Village Treasurer, Clerk, and Receiver of Taxes, pursuant to Village Law §4-412(3)(2).[11]
Mileage Reimbursement Rate
Village officials and employees who use personal automobiles while performing official duties are reimbursed at the current federal IRS business rate per mile in effect at the time of the trip.[11]
Advance Payment of Claims
The Board authorizes payment in advance of audit for claims for public utility services, postage, freight, and express charges. All such claims must be presented at the next regular meeting for audit, and the claimant and the officer incurring or approving the claim are jointly and severally liable for any amount the Board disallows.[11]
Official Newspaper
The Daily Freeman (aka Media News Group) is designated as the official newspaper of the Village of Red Hook.[11]
Ethics and Procurement Code Acknowledgment
The Board annually acknowledges review and familiarity with the Ethics Code, Procurement Code, Investment Policy, NYCLASS Investment Policy, and Notice under the Americans with Disabilities Act of the Village of Red Hook.[11]
Village Board of Trustees Meeting Schedule
Village Board of Trustees meetings are held at 6:30 pm on the following dates: May 11, June 8, July 13, August 10, September 14, October 13, November 9, December 7, 2026, and January 11, February 8, March 8, April 12, 2027. All meetings are held in Village Hall and are open to the public.[11]

Village Board Workshops are held at 6:30 pm on the following dates: April 27, May 26, June 22, July 27, August 24, September 28, October 26, November 23, December 21, 2026, and January 25, February 22, March 22, 2027. All meetings are held in Village Hall and are open to the public.[11]
Justice Court Meeting Schedule
The Village of Red Hook Justice Court meets on the 1st Wednesday of each month at 6:00 pm in Village Hall, open to the public.[11]
Criminal Court Meeting Schedule
The Village of Red Hook Criminal Court meets on the 3rd Wednesday of each month at 3:00 pm in Village Hall, open to the public.[11]
Planning Board Meeting Schedule
The Planning Board meets on the 2nd Thursday of each month at 6:30 pm in Village Hall, open to the public.[11]
Zoning Board of Appeals Meeting Schedule
The Zoning Board of Appeals meets on the 4th Thursday of each month at 6:30 pm in Village Hall, open to the public.[11]
Events Committee Meeting Schedule
The Events Committee meets as needed. All meetings are held in Village Hall and are open to the public.[11]

Videoconferencing Authorization – Extraordinary Circumstances
Board members who experience an extraordinary circumstance (including disability, illness, caregiving responsibilities, or any other significant or unexpected factor precluding physical attendance) are authorized to attend meetings by videoconference, provided: (i) a quorum of members attend in-person at one or more locations open to the public; (ii) the remote member can be seen, heard, and identified during the open portion of the meeting; and (iii) the meeting is otherwise conducted in compliance with Chapter 56 of the Laws of 2022 (Public Officers Law §103-a).[4]
Videoconferencing Model Procedures
The Board has adopted the Model Procedures for Member Videoconferencing as required by Public Officers Law §103-a, governing the use of videoconferencing by Board members under extraordinary circumstances.[5]
Videoconferencing Recording and Posting Requirement
Any meeting at which a member attends by videoconference must be recorded, posted to the Board of Trustees web page within five business days, and transcribed upon request, in accordance with Public Officers Law §103-a(2)(g).[4]

Standing Public Videoconference Access Resolution (Withdrawn)
Withdrawn at the June 8, 2026 meeting. The resolution would have established standing public videoconference attendance options for all Board meetings (except emergencies), with public links posted in agendas and on the Village website, new links generated per meeting, and recordings made publicly available per POL §103-a(7).[12]
